Depending on their size, Zone Air orders ship either by standard ground parcel (for smaller units and accessories) or by palletized LTL freight (for larger systems). This policy explains how each works, what to expect on delivery day, and what to do if something arrives damaged. Reading it before your order arrives will save you time and help your delivery go smoothly.
Free shipping
We offer free standard shipping on all orders within the 48 contiguous United States. The shipping method — ground parcel or LTL freight — and the carrier are selected by Zone Air based on the size and destination of your order.
Where we ship
We currently ship only within the 48 contiguous United States. We do not ship to Alaska, Hawaii, Puerto Rico, U.S. territories, PO boxes, APO/FPO addresses, or international destinations. If you are outside our standard shipping area, contact us at support@zone-air.com and we may be able to arrange a custom freight quote.
Processing and delivery times
All dates shown at checkout or on our website are estimates, not guarantees.
Processing
Orders are typically processed and prepared for shipment within 1–3 business days.
Transit
Most systems arrive within 3–7 business days after processing, depending on your location and carrier volume.
Actual delivery timing depends on the carrier, your location, and warehouse processing, and is subject to change. During periods of high demand, please allow up to 3 additional business days. Zone Air is not responsible for delays caused by the carrier or by events outside our control.
Ground parcel vs. freight delivery
Ground parcel
Smaller units & accessories
These ship by standard carriers such as UPS or FedEx and are left at your delivery address, like any package. Tracking updates frequently, and no appointment or signature is typically required.
LTL freight
Larger systems
- An adult (18 or older) must be present to receive and sign for a freight shipment.
- Freight tracking updates less often than parcel tracking, mainly at carrier terminals, so it can appear to pause between updates. This is normal.
- Plan for the pallet. Have space cleared and, ideally, a second person available to help move the outdoor condenser, which is heavy.
Inspect your shipment on arrival
This is the most important step. Inspect the pallet or boxes for torn shrink wrap, punctures, dents, crushing, or missing items as soon as your order arrives. If you see any visible damage:
- 1For freight deliveries, note the damage on the delivery receipt or bill of lading and write “Package Damaged” before signing, and refuse the delivery if the damage is significant.
- 2For ground parcels, photograph the package as delivered before opening if it looks damaged.
- 3Take clear photos of the damage and the packaging.
- 4Contact us within 48 hours at support@zone-air.com with your order number and photos.
On a freight delivery, signing without noting damage tells the carrier the shipment arrived in good condition, which can prevent us from recovering a claim on your behalf. Damage — including concealed damage found after opening — that is not reported within 48 hours of delivery may not qualify for a free replacement. We will always help you file and pursue a carrier claim, but our ability to do so depends on this inspection step.
Missed deliveries, address changes & refused shipments
Missed deliveries, storage, and redelivery
Freight shipments include one delivery attempt. If you are unavailable or cannot accept a freight delivery within the window the carrier offers, additional charges set by the carrier — and outside our control — may apply, and are the customer's responsibility. These can include storage fees if the shipment is held at a terminal (commonly $25–$100 per day, depending on carrier and location), redelivery fees for additional delivery attempts, and return-to-sender handling. If a shipment is returned to us because it could not be delivered, it will be treated as a return, and the actual return freight charged to us by the carrier plus any applicable restocking fee will be deducted from your refund.
Address changes
Once an order has shipped, a change to the delivery address is subject to a $175 fee, which covers the charge passed to us by the carrier and the cost of coordinating the change. Please confirm your address is correct before ordering.
Refused shipments
A shipment refused because of visible damage is handled under our damage policy at no cost to you. A shipment refused without a valid reason will be returned to our warehouse and treated as a buyer's-remorse return, subject to the 25% restocking fee plus the actual return freight charged to us by the carrier, per our Returns Policy.
Title and risk of loss
Title to and risk of loss for the products pass to you when we deliver them to the shipping carrier. While risk of loss transfers at that point, Zone Air stands behind your order: when you follow the inspection and reporting steps above, we will replace a unit damaged in transit or issue a refund, and we will assist you in filing any necessary carrier claim.
Carrier responsibility
Zone Air selects reputable freight carriers but is not responsible for the acts or omissions of the carrier, including delivery delays, missed appointments, or damage occurring in transit. We are not liable for lost or stolen shipments or for deliveries to an incorrect address provided by the customer. Where a shipment is lost or damaged by the carrier, we will assist you in filing a claim and will pass through to you any recovery we receive from the carrier for that claim.
Events outside our control (force majeure)
Zone Air is not responsible for delays or failures in processing or delivery caused by events beyond our reasonable control, including natural disasters, severe weather, carrier disruptions, labor actions, or supply-chain interruptions. In such cases, delivery timelines will be extended for the duration of the event.
